This notice explains how your personal data is used before, during, and after participation in the Shell NXplorers Programme (“Shell NXplorers”), including associated activities such as the Shell NXplorers Global Inspiration Awards, newsletters, and community engagement initiatives.
What does this privacy policy cover?
This Privacy Notice provides information on the personal data collected and processed in relation to your participation and nomination in the Shell NXplorers programme, the Shell NXplorers Global Inspiration Awards, Shell NXplorers newsletters, and your use of the Shell NXplorers website and related digital tools. In delivering this programme, Shell (being one or more companies within the Shell group) may collect and process personal data to support nomination, shortlisting, and selection processes, programme delivery and participation, event organisation, training, and certification, communication of relevant updates, video production and external announcements (including winners), promotional activities, participation in the Shell NXplorers community, monitoring, feedback, and impact assessment, and the management of your preferences regarding future communication.
What is the legal basis for processing your personal data?
Shell processes your personal data in accordance with applicable data protection laws and relies on one or more lawful bases depending on the purpose of processing. This includes processing necessary for the performance of a contract or Shell’s legitimate interests in operating, managing, delivering, and improving the Shell NXplorers programme, including participant registration, programme delivery, and related communications. Where you choose to receive additional updates or newsletters, processing is based on your consent, which you may withdraw at any time. The use of photographs or video recordings, including for promotion of the programme, is based on your consent where required by applicable law. In some cases, processing may also be carried out to comply with legal, regulatory, or health and safety obligations. Shell will ensure that the legal basis relied upon is appropriate to each processing activity and that your rights and interests are duly considered.
What personal data do we collect and process?
To facilitate your participation in the Shell NXplorers programme, Shell collects and processes only the personal data necessary to organise and deliver the programme effectively, in line with applicable laws and internal compliance standards. This includes your full name and contact details such as your email address, school name and location including country, gender and signature where required, and any accessibility or special requirements. Shell may also process photographs and video recordings in which you are recognisable, as well as feedback or additional information that you voluntarily provide.
For what purposes do we collect and process your personal data?
Your personal data is processed solely for purposes necessary to deliver and improve the Shell NXplorers programme. This includes managing registration, evaluation, and participation; facilitating training sessions, events, and activities; and issuing certificates and recognising achievements. It also includes assessing nominations and selecting recipients for the Shell NXplorers Global Inspiration Awards, communicating programme updates, responding to queries and support requests, and collecting feedback through surveys. In addition, Shell may use your data to promote Shell NXplorers and future editions of the programme, publicly announce winners and programme outcomes, support participation in the Shell NXplorers community, and monitor programme reach and impact. Processing may further be required to meet legal and regulatory obligations, administer contractual arrangements, and ensure the health, safety, and security of participants during programme activities.
Processing may take place before, during, and after programme delivery, but only for as long as necessary for the purposes outlined above. Participants under 18
Shell NXplorers may involve participants who are under the age of 18. Shell takes additional care to ensure that personal data relating to minors is processed in a manner that is appropriate, transparent, and compliant with applicable data protection laws.
Before processing personal data for the purposes of the Shell NXplorers Awards, Shell will obtain verifiable consent from a parent or legal guardian. Separate consent is obtained for distinct activities to ensure clarity and choice:
Nomination and submission materials
Your child may be nominated for the Shell NXplorers Awards. As part of this process, your child’s personal data, including their name (first name and surname) and any photographs, videos, and/or films submitted as part of the nomination materials, will be collected and processed for the purposes of assessment and participation in the awards selection process.
Awards ceremony and publication
Winners may be announced during a live virtual Awards ceremony, which may be recorded. Where consent has been provided, your child’s personal data, including their name (first name and surname), photographs, videos and/or films, may be included in the ceremony and may be used, edited, published and shared on the Shell NXplorers website, across
Shell communication channels (including online and social media), and with partners or media organisations involved in delivering or promoting the programme.
Where consent for publication is not provided, your child’s image will not be included in recorded or publicly available materials.
Personal data of participants under 18 will be used only for purposes necessary to deliver the Shell NXplorers programme and Awards, to ensure the health, safety, and wellbeing of participants, and to support related communication activities. Where processing is based on consent, consent may be withdrawn at any time, subject to applicable law, without affecting the lawfulness of processing carried out prior to withdrawal.
Parents or legal guardians may exercise data protection rights on behalf of minors, including the right to access, correct, or request deletion of personal data, by contacting Shell using the details provided in this Privacy Notice.
How will we communicate with you?
Shell will communicate with participants only for purposes related to the delivery of the Shell NXplorers programme. With your consent, Shell may also send newsletters or updates about similar programmes, share information about Shell initiatives, and request feedback to improve future programme delivery. You may opt out of such communication at any time by using the unsubscribed link included in each email.
How long do we hold your personal data?
Personal data shared with partners or service providers will typically be retained for up to two years after programme completion, unless a longer retention period is required for operational or legal reasons. Photographs and video materials may be retained for up to 10 years where there is a legitimate purpose for their continued use. Data may be retained for longer where required by law or for legitimate archival, research, or statistical purposes.
Who will we share your personal data with?
Your personal data will be shared only on a strict need-to-know basis. This may include sharing with other Shell group companies, authorised third-party partners supporting the programme such as event organisers, training providers, and digital platform providers, and regulatory authorities where required by law. Where appropriate and subject to your consent, personal data may also be shared with partners involved in co-hosting or promoting Shell NXplorers.
Your personal data may be transferred within the Shell group or to trusted third parties located in other countries. Where this occurs, Shell will ensure appropriate safeguards are in place, such as Standard Contractual Clauses or equivalent mechanisms to protect your personal data in accordance with applicable data protection laws. Shell also applies appropriate organisational, technical, and contractual measures to safeguard your personal data.
What happens if you submit someone else’s personal data?
If you provide personal data relating to another individual, such as a team member or participant, you must ensure that you have obtained their consent, informed them of how their data will be used, and explained how they can contact Shell regarding privacy-related matters. You may be asked to confirm this during the nomination process. Where personal data relates to a minor, consent must be obtained from the minor’s parent or legal guardian, while adult participants must provide their own consent.
What happens in case of a medical emergency?
In the event of a medical emergency during a Shell NXplorers activity, Shell may share relevant personal data with its internal Health and Safety teams, local medical service providers, and trusted partners delivering emergency support. Any such sharing will be limited to what is strictly necessary and will be carried out in accordance with applicable data protection laws.
How are photographs and video recordings used?
Photographs and video recordings may be taken during Shell NXplorers activities, including the Shell NXplorers Global Inspiration Awards. These may be used for general publicity and commercial purposes, internal Shell initiatives, paid advertising, and communications through print, online, Shell-owned, and broadcast media.
Except where required by applicable local law or emergency situations, or for our archiving arrangements referred to below, photographs or film are exclusively processed for the purposes referred to above and will only be shared with:
Other companies within the Shell group of companies;
Authorized third party agents, service providers, external auditors and/or subcontractors of Shell;
A competent public authority, government, regulatory or fiscal agency where it is necessary to comply with a legal or regulatory obligation to which the relevant Shell company/companies is subject to or as permitted by applicable local law; or
With your consent, with authorized third-party companies that co-host or are a business partner in the NXplorers programme, including media companies and service providers involved in hosting and organizing.
These materials will not be retained for longer than 10 years where consent has been provided or where there is a legitimate basis for processing. In certain cases, they may be retained longer to meet legal obligations or for archival, research, or statistical purposes, or for a shorter period if consent is withdrawn or processing is no longer justified.
What are your rights regarding your personal data?
You have the right to access your personal data, request correction or deletion, restrict or object to processing, request data portability, and withdraw your consent at any time where processing is based on consent. Withdrawal of consent will not affect the lawfulness of processing carried out prior to withdrawal. You also have the right to lodge a complaint with your local data protection authority.
